What happens after the application is submitted?

Once we have received your complete application, which complies with the guidelines, it will be assessed. If the application is approved, the cooperation partner will receive an agreement to sign. The agreement will be sent digitally to the email address provided. Payment will be made after the event has ended, based on the submission of complete and verifiable supporting documents proving that the agreed cooperation measures have been fulfilled.

Please submit the following documents no later than three months after the event:

final conference programme
(informal) evidence of the participants’ origin (national/international)
invoice for the event venue (to verify the number of in-person participants)

Failure to meet the deadline may result in payment being withheld. Please refer to the guidelines for further details on the verification process.

Please send all supporting evidence and documents, specifying the event and the application number, to kongressfonds@marketing.dresden.de.

However, if the potential cooperation grants, calculated on the basis of the number of participants, exceed the total amount of income and expenditure relating to the event as set out in the funding plan, payment will be made only up to the amount of the costs actually incurred (less any income received) in accordance with the submitted funding plan.

In this case, there is no entitlement to the maximum amount. If, on the other hand, the documented costs (less any revenue received) exceed the potential cooperation grant, the payment will be made up to the specified maximum amount in accordance with the participant-based scale.

What is the Dresden Conference Fund?

The Dresden Conference Fund is a programme run by the State Capital of Dresden which provides a cooperation grant to organisers of specialist conferences if they hold their event in Dresden. The aim of the fund is to attract national and international specialist conferences to Dresden and to further strengthen the city’s position as a conference destination.

Can I submit an application now for an event that is due to take place in the future?

Yes, an application can be submitted at an early stage, even if the event is still some way off.

Can I submit applications for several events?

Yes. A separate application must be submitted for each event.

Can I apply again for the same event the following year?

Accepted Answer

No, the event must take place in Dresden for the first time. There is no funding available for subsequent events.

Question 9

Is a de minimis declaration required?

Accepted Answer

The funds for the Dresden Congress Fund come from the city’s budget and are not subject to any EU funding criteria. A de minimis declaration is therefore not required.

What happens if the date of the event changes?

If the event date changes, please notify us immediately at kongressfonds@marketing.dresden.de. If the date does not fall in January, February, March, July, August or November, the partnership contribution will be waived in full.

What happens if the event is cancelled?

In the event of a cancellation, please notify us immediately at kongressfonds@marketing.dresden.de. In this case, the partnership contribution will be cancelled in full.

How late can an application be submitted?

Payment will be made once the event has concluded, on the basis of complete and verifiable supporting documents. The full set of accounting documents must be submitted no later than three months after the end of the event.
